Getting Started

First steps, onboarding, and finding your way around Trac.

How do I onboard my team quickly?: Head to Squad → Players to add your squad with our quick add form. Once saved, use Members to invite coaches, assistants, and parents.
Where can I find the main areas of Trac?: Use the left-hand menu: Squad for players and staff, Fixtures for match scheduling and results, Requests for availability, Training for sessions, and Insights for statistics. Each area matches the navigation inside the app.
How do I bulk import fixtures from FA Fulltime?: Visit Fixtures → Fast Bulk Upload. Simply copy your fixture table from fulltime.thefa.com and paste it into Trac. We automatically detect home vs away games, match types (cup/league), and skip duplicates. Your entire season can be imported in under 2 minutes - no manual entry required.

Squad & Members

Player records, guardians, and staff management.

How do I invite parents or guardians?: Open Squad → Members, select the player, and choose "Invite Parent". Parents receive a web link—no native app required. They can follow live match updates and respond to availability straight from their browser.
Can I track player medical notes and safeguarding info?: Yes. Each player profile supports medical notes, emergency contacts, injuries, and safeguarding flags so you have critical information pitch-side.
Do I have to invite parents or players?: No. Trac works perfectly well if you just want to manage your squad and coaching staff. You can always invite parents later if you change your mind.
When do I need parental consent for under-18 players?: Consent is NOT required for private coaching use: • Managing your squad list • Recording match lineups for your own records • Taking personal coaching notes • Tracking training attendance • Match statistics for your own analysis. Consent IS required when sharing data: • Publishing live match reports that parents/public can view • Sharing player performance via the Player Portal (/pp) • Making match statistics accessible to others • Any scenario where data leaves your private coaching sphere. Simple rule: private coaching notes don't need consent, but sharing that data does. This ensures GDPR compliance while keeping Trac flexible for coaches who use it as a personal tool.
How does the parental consent process work?: Trac requires parental consent before sharing performance data for players under 18. Here's the complete workflow: (1) Parent creates an account at your club's Player Portal link (shared by the manager), (2) Parent requests access to the team, (3) Manager goes to Squad → Members tab and links the parent account to their child's player profile, (4) Parent logs into the Player Portal (/pp) where they'll see a consent prompt for their linked player, (5) Parent reviews and grants consent. Once consent is recorded, that player becomes eligible for live match tracking, lineup selection, and performance statistics. Players without consent are clearly marked in member lists and cannot be added to match lineups until consent is provided. This workflow ensures compliance with GDPR and data protection requirements for minors while keeping the process simple for families.

Match Day & Reports

What is the quickest way to log match events?: Open Fixtures → select your lineup → Start Live Match. Our one-handed match logger lets you capture goals, substitutions, and outstanding moments in under three seconds. Everything syncs automatically.
Do I get match reports automatically?: Yes. As soon as the final whistle goes you can generate an AI-assisted match report highlighting scorers, assists, key stats, and coach notes. Share the report with parents in a single tap.

Training & Development

Sessions, attendance tracking, and development plans.

How do I track attendance and session notes?: Visit Training → Sessions, open a session, and use Attendance to mark players as present, late, excused, or absent. You can rate effort, add notes, and review trends in the Training Analytics dashboard.
Can I plan recurring sessions?: Yes. When creating a session choose a recurring cadence and Trac will build the series for you. Players receive invites and you can adjust availability for each date.

Parents, Players & Communication

Availability requests, portals, and live updates.

How do availability requests work?: Send availability checks from Fixtures or Training individually or in bulk. Share the generated link or PIN in your existing chat groups and families respond in their browser. Their responses flow straight into your lineup builder when you pick the squad.
Can parents follow matches without installing anything?: Absolutely. Trac is a progressive web app—parents can watch live events, read match reports, and review player progress from any browser.

Analytics & Insights

Statistics, influence scores, and performance tracking.

Where do I see player statistics?: Head to Squad → Statistics for top-line charts, or open an individual player to view appearances, goals, assists, outstanding moments, and influence rate broken down by competition.
Do you track minutes and Player of the Match awards?: Yes. Log minutes via the match report or Fixture Minutes Alert tool. Assign POTM directly from a fixture and it will appear in player profiles and statistics.

Account & Support

Connectivity, subscriptions, and reaching the team.

Does Trac work offline on match day?: Yes. The match logger caches events when you are out of signal. As soon as you are back online everything syncs and reports become available.
